Duties and Responsibilities

  • Greet all clients and direct in terms of who to speak to;
  • Record incoming and outsourcing mail and correspondences;
  • Answer phones call and direct to the appropriate party promptly and efficiently;
  • Screen incoming emails and distribute them to relevant team members for proper action;
  • Handle routine correspondence.
  • File documents according to the filing protocols to assist in document control processes
  • Ensure all office files are managed according to confidential and internal processes
  • Supports the admin team with their day-to-day functions and/or responsibilities
  • Process payments and invoices as needed
  • Liaise with company clients, suppliers, and producers
  • Receiving various instructions through telephone, e-mails, and faxes from the clients
  • Screen & schedule appointments as required
  • Other related tasks as assigned


Academic qualification

  • Diploma or Degree in Office Administration, Business Management or Customer Management

Additional qualifications

  • Ability to prioritize and organize through excellent organizational skills
  • Ability to work in a fast paced environment
  • Strong knowledge of MS Office, including Word, Excel, power point and Outlook;
  • Ability to work in a team and has excellent  communication skill
  • Self-motivated, result-oriented attitude and well-organized work ethic
  • As the first impression for guests, someone who comes across as positive and can provide exceptional sales and receptionist service;
  • Preferably with previous experience in the Customer Service industry;

Years of experience: Minimum of 1 year of experience in secretarial service or customer handling
